Party Planning can be the worst days of our lives. We’re here to make this easy.
Picture best case scenario – you are planning a party and everything goes well. Odds of this happening are 1000:1 (as quoted by me). Worst case scenario is that you didn’t plan ahead.
When you are planning a party of any size, two things are essential:
(1) A Written Party Timeline
(2) A Master Shopping List
Without these two, you won’t be able to make a good solid timeline and comprehensive list of what you need to buy, plan and do.
Good thing you found us. We are here to ensure your party goes off without a hitch.
These tips are going to help you get on the right track in planning your shopping list and timeline, bound to make your life easier. Before we go any further, here are 7 tips from professional party planners:
Master the Planning
No matter the size of your party, whether its for children or adults, a wedding or even a simple birthday party – without a master shopping list and a good timeline, you’ll get nowhere. Here is the plan for this step:
- Pen & Paper
- Decide how long things will take you to do
- Start filling in your timeline
- Make a shopping list while you are here
This is our TOP tip and hence the first thing we recommend anyone to do.
Location, Location, Location
While you are building your timeline and shopping list, you must decide where your party or event will be held. Questions to ask yourself:
- How many people will you be inviting?
- Are you using an event location or a restaurant? If so, you need to secure your space before doing Tip #1.
What do you need to do before the party? Think ahead
Once location is secured for your event, now is the time to build a list. Some tips here:
- What you need to do before the party, like invites.
- Custom printed invites take more time
- You need to accommodate this into your timeline
- Distance to location
- And much more
Preparation of Food & Things to Do
If you have been following our tips step by step, this should be the next on your list. (no cheating). Time to think about what you will be doing. Here is a quick breakdown of what you can do. Dedicate a single sheet of paper just for your party day and list everything you need to do. Ideally, you should list it by time.
- preparing food
- what you will be doing at your party
- how long you want the party to last
- party favors (bottom of the list)
Planning ahead is a key component of having a good timeline to your party. You would want to formulate a timeline for two weeks or so leading up to the event. While you are doing this, you will need to block out time for cleaning, shopping, putting up decorations, etc.
There is no shame to ask for help
A lot of people have trouble delegating to the person because they simply feel they are better at the job than others. Let’s put a positive spin to this TODAY! There is no shame in admitting you need help, and asking for help. It’s more time on your hands. Trying to micromanage an event to the gritty details can be a pain. Do yourself a favor! The best part is they won’t mind helping because they have been in the same situation as you before. And may even need your help on it one day (if they are keeping track, which most people do)
In addition, you will also start to see if there will be any conflicts in your timeline. These may include things where you might need to move a few things around or enlist the help of others.
Remember, you are not alone if you feel overwhelmed. It is perfectly acceptable. In fact, most people you will find would be happy to help you.
This is one of the most important aspect of party planning.
Time to Have fun!
Now you can breathe.
